Custom AI reception for multi-location groups, call centres and regulated businesses

For organizations whose calls don’t fit one front desk. We build the receptionist around your locations, queues and systems — and run it where your data rules say it must: Canada-only, in your own cloud or on your own servers.

  • Canada-only processing, end to end — available
  • Your own cloud or your servers
  • Models trained privately on your data
  • Every caller told it’s an AI assistant

Who it’s for

Who is custom AI reception for?

Organizations whose calls don’t fit a single front desk: groups with many locations, teams running a call centre or overflow line, and practices where privacy rules decide where data can go.

A shop owner in a red sweater and work apron points at a laptop screen as a consultant at the table walks him through it

Multi-location groups and franchises

One receptionist that knows every location — or one per site. Each keeps its own hours, services, prices and on-call people, and head office sees everything in one report.

  • Routes callers to the right location
  • Per-location hours, services and prices
  • One report across every site

Call centres and overflow

Takes the calls your queue can’t: after hours, at peaks or a whole line. It follows your agents’ scripts and passes anything it can’t finish to a person, with the caller’s details.

  • After-hours, peak or full-line coverage
  • Same scripts and rules as your agents
  • Transfers to a person when one is needed
A lawyer in a dark suit holds a contract and listens as a couple across the desk points to a clause

Regulated practices — health, legal and finance

Intake, scheduling and routing only. Advice stays with your licensed people, and you choose where data lives — up to Canada-only processing or your own servers.

  • No clinical, legal or financial advice
  • Canada-only processing available
  • Data processing agreement on request

Deployment options

Where should your call data live?

Choose how far inside your own walls the receptionist runs. Every level answers calls the same way; what changes is where data is stored, where it’s processed and whose infrastructure it runs on.

  1. Level 1

    Hosted in Canada by default

Recordings, transcripts and summaries are stored in Canada as standard. Every provider in the live call path will be named, with its region, on our trust page before launch.

    What changes

    • Nothing to set up — every Infold receptionist starts here
    • Your callers’ records stay in Canada
    • Live in 2 business days once we have access and your approvals

Usually chosen by Most single-location businesses

  2. Level 2

    Canada-only processing, end to end

Every live step — phone line, speech recognition, the AI model, the voice and storage — runs in Canada. The providers and their regions are written into your agreement.

    What changes

    • Each component pinned to a Canadian region or a Canadian-hosted model
    • Named providers and regions in your agreement
    • Voice and model choices limited to those that run in Canada

Usually chosen by Health, legal and financial practices

  3. Level 3

Deployed in your own cloud account

Infold runs inside your organization’s cloud account, in the region you choose, under your security policies. Your team controls access, keys and logs.

    What changes

    • Your region, your cloud bill, your security tools
    • Our team’s access is granted, scoped and revocable by you
    • Reference architecture reviewed with your IT and security team

Usually chosen by Groups with their own cloud team and data policies

  4. Level 4

    On your own servers

Speech recognition, the model and storage run on servers you own, in your building or your colocation. Calls arrive through your phone system.

    What changes

    • Hardware sized with you during design
    • Outbound connections limited to the ones you allow
    • Updates arrive as versions you test and approve

Usually chosen by Call centres and organizations with their own data centre

Reference architecture

How does a call move through Infold?

Through six steps from your phone line to your systems, with the reply spoken back and the records kept for the period you set. Pick a level to see where the boundary sits — and what stays inside it.

Reference architecture of one call The caller reaches your phone line; speech is turned into text; the AI model works out the request; your rules check it; actions update your systems. The model's reply is spoken back through the voice step. Recordings, transcripts and summaries are kept as call records. A dashed boundary shows where data lives for the selected deployment level. Canadian by default

Calls from coast to coast. Records kept in Canada.

Every Infold receptionist stores call data in Canada as standard. When your policies go further, so do we — and we put it in writing.

  • Hosted in Canada by default
  • Canada-only processing, end to end — available
  • Deployment in your own cloud or on your servers
  • Callers always told they’re speaking with an AI assistant

Privately trained models

What does “trained on your data” actually mean?

We adapt the AI to your organization using material you approve — your scripts, your knowledge and, with consent, past calls you choose — and the result is used only by your receptionist. Your data never trains models shared with anyone else.

  • Scripts you approve Greetings, answers, how your team handles hard calls
  • Your knowledge Services, prices, policies, locations
  • Past calls you choose Only where callers were told how recordings are used
Your private model Separate for your organization. Used only by your receptionist.
Your receptionist Shared models · other customers
Scripts you approve, your knowledge and past calls you choose go into a private model used only by your receptionist. Nothing flows to shared models or other customers.
  1. Grounding

It looks up your approved answers

On every call, the receptionist answers from your approved knowledge — services, prices, hours, policies. Every Infold receptionist works this way. It isn’t training: nothing about the model changes.

  2. Tuning

It learns how your organization talks

For larger deployments we fine-tune a model on your approved scripts and on past calls you select. It picks up your terms, your products and how your best people handle difficult calls.

  3. Testing

It proves itself on your real calls

Before a new version answers your phones, we run it against your hardest past calls and agreed scenarios, and you sign off on the results.

What it means

  • A model adapted to your organization, from material you approve
  • Kept separate for you and used only by your receptionist
  • Built on past calls only where your callers were told how recordings are used — and only the calls you select
  • Ownership and deletion written into your agreement

What it doesn’t mean

  • Your calls training a model shared with other customers — that never happens
  • Looser rules: a tuned model still answers only from what you approve, and regulated clients still get intake only
  • A brand-new AI built from zero: it’s an established model, adapted to you
  • Something you need: many organizations get what they need from approved scripts and knowledge alone
Integrations and workflows

Can it work with the systems we already use?

Yes. If a system has an API, we can connect it — we build the integration during setup, as part of your project. Five connect today.

Connects today

  • Google Calendar
  • Microsoft 365
  • Open Dental
  • Shopmonkey
  • HubSpot

Connected during setup

  • Practice management
  • Field service and dispatch
  • CRM
  • Scheduling
  • Phone systems and SIP
  • Ticketing and service desks
  • Your own databases

Third-party names are trademarks of their owners and are used only to say what Infold connects to.

Examples of workflows we build

  1. After-hours lead CRM record with the call summary, assigned to the right rep
  2. Caller gives an account number Status checked in your system before anything is booked
  3. Urgent call at 2 AM Ticket in your service desk and a text to the on-call lead
  4. New client books Intake form texted before the first visit

Every action still passes your rules first — the receptionist can only do what you’ve approved.

Multi-location

How does it handle many locations?

Each location keeps its own rules — hours, services, prices and on-call people — while callers reach the right site and head office sees one report across all of them.

Routing by location

One number or one per site. It works out which location the caller needs — by what they say, their postal code or the number they dialled — and books with that team.

Caller

Hi — I’m in Barrhaven. Can someone come out Thursday morning?

Matched to Barrhaven by postal code

Infold

The Barrhaven team has 10:30 on Thursday. Shall I book that for you?

Booked with the Barrhaven team

How it picks a location

  1. 1 What the caller says — a neighbourhood, a street, “the one near the mall”
  2. 2 Their postal code, checked against the areas each site serves
  3. 3 The number they dialled, if each site keeps its own line
  4. 4 If it’s still unclear, it asks the caller which location they want

Per-location rules

Each site keeps its own hours, services, prices and on-call people. Change one without touching the others.

  • Westboro Open today 9–5 Saturday hours 9–1
  • Orléans Closed today Bookings offered at Kanata

Shared reporting

Every location in one view: what callers wanted, what was booked, what needed a person.

How a custom project runs

Discovery. Design. Pilot. Rollout.

Nothing goes live everywhere until it has handled your real calls in a pilot. Each stage ends with something you sign off.

  1. Workshops

    Step 1: Discovery

We map your call types, locations, queues, systems and data rules with your operations, IT and privacy leads.

  2. Written plan

    Step 2: Design

A written design: deployment level, reference architecture, integrations, call flows, rules and a dated plan. Nothing is built until you approve it.

  3. One site or queue

    Step 3: Pilot

One location, line or queue goes first. Your team tries to break it; we tune it on real calls until it handles the hardest ones.

  4. Site by site

    Step 4: Rollout

Location by location or queue by queue, with shared reporting from day one and ongoing tuning after launch.

Questions

Custom and enterprise questions, answered.

Straight answers on data, deployment, models and price. Anything else, ask us on the call.

What does “trained on your data” mean at Infold?

We adapt a model to your organization using material you approve: your scripts, your knowledge and past calls you select, only where callers were told how recordings are used. The tuned model is kept separate for you and used only by your receptionist. Your data is never used to train models shared with other customers. Separately, every receptionist looks up your approved answers on each call — that is grounding, not training.

Is Canada-only processing the default?

No. By default, Infold stores call data in Canada: recordings, transcripts and summaries. Canada-only processing — where every live step, from the phone line to the AI model and the voice, runs in Canada — is an option we set up and write into your agreement.

Can Infold run in our own cloud account or on our servers?

Yes. We can deploy into your organization’s cloud account, in the region you choose, or on servers you own. We review the reference architecture with your IT and security team during design, and nothing goes live until a pilot has handled your real calls.

Can it handle locations with different hours, services and staff?

Yes. Each location keeps its own rules — hours, services, prices and on-call people. Callers are routed to the right site by what they say, their postal code or the number they dialled, and head office gets one report across every location.

Can it take overflow from our call centre?

Yes. It can answer after hours, at peaks or on a whole line, following the same scripts and rules as your agents, and transfer to a person when one is needed.

Which systems can it connect to?

Google Calendar, Microsoft 365, Open Dental, Shopmonkey and HubSpot connect today. Other systems with an API — practice management, field service, CRM, ticketing, phone systems — are connected during setup as part of your project.

Does it give medical, legal or financial advice?

No. For health, legal and financial practices it handles intake, scheduling and routing only. Anything that needs professional judgment goes to your people, by your rules.

How is custom work priced?

Standard receptionists use our published plan pricing. Canada-only processing, your-cloud and on-premise deployments, private models and custom integrations are quoted after discovery, with scope and costs in writing before any work starts.

How long does a custom deployment take?

It depends on the deployment level and the systems involved; you get a dated plan at the end of the design stage. A standard receptionist is live in 2 business days once we have access and your approvals.
